Padel Papi is a booking app that connects padel players with padel coaches. Coaches can also run an academy here — a roster of regular members who train in weekly groups. This policy explains what data the app handles and why.

What we store

Players (browsing needs no account; booking does):

  • The name and phone number you type when booking — visible only to the coach you booked with, so they know who is coming and can reach you.
  • Optionally, a note to the coach and your self-declared skill level, shown to the coach (and the level to players in the same group session).
  • Optionally, an "about you" text you write for coaches (e.g. goals, playing background, or anything you choose to mention such as an injury). It is attached to your bookings and visible only to coaches you book with. Don't include health details you'd rather keep private — the field is free-text and entirely optional.
  • An anonymous identifier the app creates when you first open it. When you book, you sign in with Apple, Google or email and your bookings are tied to that account so they follow you across devices — browsing needs no sign-in; booking does.
  • A push-notification token and your device language, if you allow notifications — used only to send booking confirmations, waitlist updates, lesson reminders, offers of an open seat in an academy session, and the answer to an academy join request, in your language.
  • Payment status only (e.g. "marked as sent", "confirmed by coach"). Padel Papi never processes, holds, or sees actual payments — those happen directly between you and the coach (MB WAY, Bizum, Pago Móvil, Revolut or cash).
  • If you buy a credit pack from a coach, that coach holds a credit balance for you and a ledger of what was added and spent. You can see both in the app at any time; the money itself still moves directly between you and the coach.
  • Attendance status (e.g. a no-show marked by the coach) as part of the coach's records.
  • A note your coach may write about a lesson after it happens — a short training journal. It is written for you, and you can read it on that past booking.
  • After a lesson, your coach may record how you're doing on specific padel skills and attach a photo to that session — you can see this progress and those photos in the app. Your coach may also keep private coaching notes for their own use, which aren't shown to you.
  • The date you agreed to this policy and which version of it, recorded once when you create an account.

Coaches:

  • Your account email, and your public page (name, club, address, bio, prices, availability, an optional profile photo, your payment-app number — MB WAY, Bizum or Pago Móvil — if you enable app payments, and your Revolut tag if you set one).
  • If you run an academy: its name, description, venue, address, city, number of courts, an optional photo, its prices, and optionally a phone number, email and website for it.

Measured effort

Padel Papi can read the workouts and heart rate Apple Health already keeps for you — but only if you turn that on yourself. Booking, and every other part of the app, works exactly the same whether you do or not.

  • It is read-only. Padel Papi never writes anything back to Apple Health.
  • The reading happens on your iPhone. No heart rate and no workout ever leaves the device — nothing is uploaded, and we never see it.
  • The only thing that can ever reach a coach is one word — easy, moderate or hard — and only if you turn on a second, separate switch: Share the word with my coach. It is off by default.
  • Turning that switch off stops future sessions from being shared. Words you already shared stay shared.

Academies

An academy is a coach-run club: a head coach, the coaches who teach for it, and a roster of members who train in weekly groups.

If you are on an academy's roster, every coach of that academy — not only the one who teaches your group — can see:

  • your name and phone number;
  • the M or F category a coach puts you in, which the academy uses to group players;
  • your year of birth, if a coach recorded one. A year, never a full date of birth;
  • your gender, as a coach recorded it. This is the coach's own record of it, and it is not the same thing as the M/F category the academy uses to sort players into competitive groups;
  • the make-up lessons you are owed, your attendance, and any absence you declare in advance;
  • whether you have turned on being offered other groups' open seats. It is off unless you turn it on;
  • the short message you write when you ask to join, and the reason a coach gives if a request is declined;
  • a skill level a coach assigns you, on a private M1–M7 / F1–F7 scale.

That level is deliberately not shown to you, or to any other member. It is the coaches' own working note. The app is built so that no player can read it out of the data either — it is not merely hidden on the screen. If you want to know what it says, ask us and we will help you get it from the academy.

The other members of a session you are in can see your name. That is what a class register is.

Payments a coach records against you — the amount, the date, and how it arrived — stay in that coach's own records.

An academy's own page (name, description, venue, address, city, courts and photo) is public on the web only if the head coach chooses to publish it. No member's details ever appear on it.

If a coach added you and you have no account

A coach can put someone on a roster straight from their own client list — a name and a phone number — before that person has ever opened the app, including by importing a whole list at once. So a record about you can exist here without you knowing.

Until you join that academy in the app, the record is visible only to the academy's coaches. When you do join, a coach can link it to your account, and from then on you can see your own membership.

If you think an academy holds a record about you, email support@padelpapi.app to ask what it says or to have it removed. You do not need an account to ask.

A coach can also invite you: they may store your name, your phone number and the level they think you play at in order to send you an invitation link. You review every one of those details, and accept these terms yourself, before any profile of yours exists. An invitation nobody accepts expires and is deleted.

Substitute seats

When a member says in advance that they cannot attend, their seat is offered to other members whose level fits, a few at a time, until someone takes it. The app records that a seat was offered to you and, if you take it, that you took it. An offer you do not take disappears when the offer closes.

Playing with other players

Booking a lesson never shows you to another player. Being seen by other players is a separate, optional step: you create a player profile. Until you do, nothing in this section applies to you — no other player can find you, open you, or connect with you at all.

A profile holds exactly this, and nothing else:

  • the display name you choose for it — not the name you type when booking;
  • a photo, if you add one;
  • your level, 1 to 7, as you declare it yourself — and, if a coach has confirmed it, that coach's name and the date they did;
  • your region — a place like Madeira or Madrid, never an address and never your location;
  • whether you are open to matches.

Your age is never on your profile and is never shown to another player. The app says you play at 4, never that you are 43. You tell us your year of birth once, when you create the profile, and it is kept in a private record only you can read — no other player, and no coach, can reach it.

Anyone signed in who has your profile link, or who has shared a court with you, can open your profile. Open to matches adds one thing on top: with it on, players in your own region can also find you by browsing. It starts on when you create a profile, and you can turn it off at any time under Your profile — you then stop appearing in that browsing, though your profile still opens for anyone who already has your link or has played with you.

None of this is public on the web, and none of it is shown to anyone who is not signed in to the app. Among signed-in players, though, a profile is reachable by anyone who has its address — we do not keep a list of who may open yours.

Who you have played with

Once you have a profile, the app works out who you have shared a court with from the sessions you both attended, and shows them to you. Only the two of you ever see that you played together, and only once you both have a profile — it is never shown to a third player, to a coach, or on your profile. It records the month you first played and the month you last played — "first in March, last in June" — and how many times. Never a list of dates.

Connecting, blocking and reporting

You can ask another player to connect, and they can accept or decline. A request that was declined cannot be sent again.

Blocking is silent, and we mean it. If you block someone we never tell them — not in the app, not by notification, and not if they write to us and ask. The block stops them reaching you: they cannot connect with you, and they stop appearing to you. What it does not do is hide your profile from them, and we would rather say so than let you rely on something the app does not do.

You can also report a player. A report records who sent it, who it is about, the reason you choose and anything you write. Nobody can read a report back out of the app — not the player reported, not other players, and not you once you have sent it. We read reports ourselves, with administrative access to the database, and we never tell the reported player who reported them. We keep a report for 12 months and then delete it. If either person deletes their account before that, their name and identifier are replaced in the report with a meaningless value, so it still records what happened but no longer who they were.

Messages

Coaches and players who share a booking or an academy membership, and players who have connected with each other, can message directly in the app.

  • Messages stay in the conversation until either person deletes it, which removes the whole conversation for both of you.
  • Editing or deleting a message keeps its previous text for 12 months, readable only by us, for safety and moderation. What you and the other person see updates right away; deleting your account does not remove this copy.
  • Read receipts let the other person see when you have read their message. They are on by default — turn them off under Settings and you stop sending yours, which also stops the app showing you theirs.
  • Typing indicators show briefly while the other person is composing a reply. There is no setting to turn this off.
  • You can report a message the same way you can report a player, above. A report about a message reaches us, never the person you reported, and follows the same 12-month clock.

Children and young players

  • You need to be 13 or over to hold a Padel Papi account. For a younger player, a parent or guardian should hold the account and book for them.
  • A player profile is for adults: you need to be 18 or over to create one. That is a separate rule from the 13-and-over one for holding an account — someone of 13 can book lessons here and simply never have a profile. We ask for your year of birth when you create one and we take your word for it; there is no age verification in the app.
  • Academies teach children, and a coach can record a child's details. Name, phone number, year of birth and gender can all go on an academy roster — usually copied from the academy's own sign-up form, and often before the child has an account, or any account at all.
  • The academy is responsible for having the parent's or guardian's agreement before recording a child's details here. Padel Papi does not collect that agreement and cannot check it.
  • There is no age check and no parental-consent step in the app. We are telling you who is responsible, not describing something the app enforces.
  • A parent or guardian can email support@padelpapi.app to ask what an academy holds about their child, or to have it deleted. The academy's head coach can also delete a member outright, which removes the membership record — name, phone, year of birth, gender, make-up credits — together with the level stored alongside it.

What we don't do

  • No advertising, no behavioural analytics, no selling or sharing of data with third parties. We do not track what you tap or how long you spend in the app — there is no analytics tool in it at all.
  • No payment processing — money never flows through the platform.
  • No tracking across other apps or websites.

Crash reports

When the app crashes it sends a diagnostic report to Firebase Crashlytics so we can fix the fault: the technical stack trace, your device model, and your iOS version. It does not include your name, phone number, bookings, or any account identifier, and it is not used to build a profile of you or to advertise.

Where data lives

Data is stored in Google Firebase (Firestore, Authentication, Cloud Storage for photos, Cloud Messaging, Crashlytics). The database is in the European Union, in Paris. Some processing happens elsewhere: the background jobs and web pages Padel Papi runs — reminders, substitute-seat offers, join requests, and the pages that show a coach or an academy on the web — run on Google servers in the United States. Firebase's own terms and security measures apply.

Your rights (GDPR)

  • Access & portability: in the app you can see your lessons, your details on each booking, and your own academy membership. That is not everything we hold: the level a coach assigns you is hidden from you by design, as described above. For a full copy of what is held about you, including that level, email support@padelpapi.app.
  • Leave the social layer: a smaller step than deleting everything. Open Your profile and choose Leave the social layer. Your player profile, your connections and the record of who you have played with are deleted; your account, your bookings and your lessons are untouched, and you can join again whenever you like. A block is the one thing that survives it — otherwise leaving and rejoining would be a way around being blocked.
  • Erasure: in the app, open the Settings tab and choose Delete my data. This cancels your upcoming bookings, removes you from every waitlist, deletes your notification token, deletes your player profile together with your connections and your played-together history, and deletes your sign-in account. An academy's head coach can also delete a member from the roster, which removes the membership record — name, phone, year of birth, gender, make-up credits — and the level stored alongside it. Four things are kept on purpose: your name and attendance on sessions that have already happened (the academy's record of what it taught); payment records (the coach's record of money received); reports involving you, for 12 months from the report and with your name and identifier replaced by a meaningless value; and blocks, because a block is a safety control and erasing it would hand anyone a way to undo one. None of it is attached to an account anybody can sign in to again. Coaches have an equivalent Delete my coach account option that removes their page, schedule and account.
  • Rectification: your name and phone are re-entered on each booking — simply book with corrected details, or ask the coach to remove an incorrect entry. On an academy roster, ask any of the academy's coaches to correct your details.
